Everything we build, map and teach, with an example of each

Aeternus Intelligence offers twelve service areas. A Build & Teach engagement ($10,000 flat) picks any three of them in the order your roadmap sets; the rest stay on the plan for later. Every example below describes the kind of work we do, not a specific client.

01 · Plan

What is an AI roadmap, and what does it include?

An AI roadmap is a written plan that shows where AI and automation save the most hours or add the most revenue in your business, and in what order to build them. We time and cost every recurring task, review your tools, check how AI assistants describe you, and rank the opportunities by payback. It is the $2,500 AI Roadmap, credited toward a build within 30 days.

  • AI readiness auditA 12-person insurance agency scores 34 out of 100; the biggest gaps are intake and follow-up.
  • Opportunity map in hours and dollarsA dental office finds more than 20 staff hours a week in phone scheduling and insurance checks.
  • Tool stack reviewAn agency paying for nine overlapping tools consolidates to four.
  • AI use policyA law firm gets a one-page policy on what client data can go into which AI tools.
  • Competitive AI scanA roofer sees ChatGPT names three competitors and not them.
  • 90-day implementation planA title company's plan: intake automation first, then a dashboard, then content.
  • Quarterly roadmap refreshMonthly-plan clients get a re-scored, re-ranked plan every 90 days.

How do you map and redesign a business's operations?

We map how the business actually runs before automating any of it, because a broken process automated is a faster broken process. We interview and shadow each role, draw every workflow with its hand-offs, find where work waits, then design the new workflow with AI and automation placed in it. The output is process maps, SOPs, role scorecards and a KPI framework your team can run.

  • Current-state process mapsA file from lead to close shows 14 hand-offs and three places the same data is typed twice.
  • Bottleneck and hand-off analysisA med spa's consult-to-booking gap averages four days because one person sends every quote.
  • Future-state workflow designQuotes generated from consult notes and sent the same day.
  • Customer journey mapA gym finds no contact at all between day 30 and renewal.
  • Org chart and role scorecardsOne overloaded office manager role is split into two clear roles, with AI covering the rest.
  • SOP libraryA cleaning company onboards new hires from 20 recorded procedures.
  • KPI framework and weekly scorecardA law firm tracks intake-to-consult, consult-to-retain and days to close in one 60-minute weekly meeting.
  • Client onboarding designA bookkeeper's onboarding drops from three weeks to five days.

03 · Build

What business processes can AI and automation take over?

Most repetitive work between a lead arriving and an invoice being paid can be automated: lead response, scheduling, reminders, document collection, proposals, invoicing, data entry, inbox sorting and reporting. We build on Zapier or Make, your existing tools, and Claude or ChatGPT, so every automation is documented and your team can change it when a tool changes.

  • Speed-to-leadA Facebook or web lead gets a text and a booking link within 60 seconds.
  • Scheduling and remindersA chiropractor cuts no-shows with reminders sent 24 hours and 2 hours before.
  • Document collectionA CPA firm's portal chases clients for missing W-2s so staff don't have to.
  • Quotes and proposalsAn event planner sends a branded quote 10 minutes after the call.
  • Invoicing and payment follow-upInvoices go out on job completion, reminders send themselves, and payments sync to QuickBooks.
  • Inbox triage and draftingA 200-email inbox is sorted into four folders with draft replies waiting.
  • Meeting notes to tasksEvery sales call leaves a summary and next step in the CRM automatically.
  • Review requestsA text asking for a Google review goes out after every completed job.

04 · Build

What does a CRM and sales retention system include?

A CRM and sales system is the pipeline your team works from, plus the follow-up that runs on its own: lead scoring and routing, nurture sequences by text and email, and a retention engine that keeps past clients hearing from you. We have built retention CRMs used company-wide by a nine-figure business and sales toolkits run by large teams.

  • CRM selection and setupAn insurance agency moves from spreadsheets to one CRM with clean fields and imported history.
  • Pipeline designNine vague stages become six, each with clear exit criteria and an owner.
  • Lead scoring and routingLeads with a budget and timeline reach the senior rep within five minutes.
  • Nurture sequencesBuyer leads get a 90-day text and email sequence until they are ready.
  • Past-client retention enginePast clients hear from the business every quarter without anyone remembering to send it.
  • Database reactivationA med spa sends a seasonal offer to 3,000 old leads.
  • Sales toolkit and scriptsReps text a comparison calculator during the call and rehearse objections with an AI role-play partner.

What does AI-built website design and development include?

We design and build fast, clean websites and landing pages that convert visitors and are easy for AI assistants and search engines to read: copy, design, forms, booking, analytics, structured data and launch. AI tools let us build in days instead of months, and you own the site, the domain and every account.

  • New website buildA new med spa launches with service pages, pricing and online booking.
  • Website redesignA ten-year-old law firm site rebuilt mobile-first and twice as fast.
  • Campaign landing pagesA roofer gets a free-inspection page for each storm event.
  • Service and city pagesAn HVAC company adds a page for each service and each city it serves.
  • Conversion fixesA contact form cut from 12 fields to 4, with clearer headline and proof.
  • Interactive toolsA pool builder's cost estimator captures emails from serious buyers.
  • Booking, deposits and client portalsA photographer takes a deposit when the session is booked.
  • Website care planMonthly updates, backups and edits for clients who never want to log in.

07 · Grow

What marketing design and brand creative do you produce?

We produce brand identity, guidelines and the everyday creative a business needs, using AI design tools so one engagement covers what used to take a design team. Every piece comes with editable templates, so your team can make the next post, flyer or ad in your brand without us.

  • Brand identityA new agency gets a logo, colors, type and voice in two weeks.
  • Brand guidelinesOne reference every designer and AI tool follows, so all posts look like one company.
  • Social media templates20 to 40 editable templates for posts, stories and reel covers.
  • Ad creativeA dentist gets 12 ad variations to test for a whitening offer.
  • Short-form video editingOne 30-minute webinar becomes 15 captioned clips.
  • Pitch and sales decksA contractor's bid goes from a Word document to a branded presentation.
  • Print, signage and email templatesA door hanger with a QR code that books an appointment.

08 · Grow

How do you set up Meta and Google ads that produce real customers?

Ads only work when the funnel behind them works, so we build the offer, landing page, tracking and follow-up first, then launch Meta lead ads, Google Search and Local Services Ads. Conversion tracking follows a click to a closed sale, so you know what a customer costs, not just what a click costs. We can run the ads monthly or train your team to.

  • Funnel strategyA first-visit offer mapped from ad to booked appointment to follow-up.
  • Meta lead adsInstant-form leads with qualifying questions, synced to the CRM and texted back in under a minute.
  • Google Search and Local Services AdsA home-services company appears for near-me searches with a verified badge.
  • Tracking setupPixel, Conversions API, call tracking and UTM rules, so every sale traces to an ad.
  • Lead magnets and quizzesA checklist or calculator that captures emails from people not ready to call.
  • RetargetingVisitors who priced a project see a financing ad for 30 days.
  • Budget and ROI reportingA monthly report of cost per lead and cost per closed customer.

09 · Grow

How do you set up a content and social media system a small team can run?

We set up a content system your team runs in about two hours a week: a calendar, a Claude or ChatGPT project trained on your voice and offers, and a repurposing workflow that turns one recording into posts, clips, an email and an article. Content also feeds AI search visibility, so it compounds.

  • Content strategy and calendarA financial advisor posts three times a week on three themes.
  • Brand-voice AI setupDrafts that sound like the owner, not a robot.
  • Repurposing systemOne weekly video becomes a newsletter, five posts and three clips.
  • Articles that answer buyer questionsOne article per real question customers ask before they buy.
  • Email newsletterA monthly email with tips, offers and news, templated and scheduled.
  • Owner personal brandA CEO posts one lesson a week on LinkedIn and gets inbound partner calls.
  • DM and comment handlingPrice questions in Instagram DMs get an answer and a booking link.

What can an AI receptionist, chat assistant or voice agent do for a business?

An AI assistant answers questions, qualifies leads and books appointments around the clock, on your website, by text or by phone. We train it on your services, prices and policies, set clear limits on what it may say, and always give the customer a path to a person. Internal assistants answer staff questions from your own SOPs and documents.

  • Website chat assistantA med spa's chat answers treatment questions and books the consult.
  • AI receptionist and voice agentA plumber stops losing 9 p.m. emergency calls to voicemail.
  • SMS qualifying assistantA new lead is asked two qualifying questions before a rep calls.
  • Internal knowledge assistantA new hire asks how refunds work and gets the SOP answer.
  • Role-based AI workspacesThe office manager, sales rep and marketer each get a Claude project or custom GPT with their prompts and files.
  • Multilingual supportA South Florida clinic answers Spanish-speaking patients 24/7.

What KPI dashboards and automated reports do you build?

We build one-page dashboards that pull leads, sales, revenue, cash and operations numbers from the tools you already use, and reports that email themselves every Monday. A live dashboard is also how you prove every other system is working.

  • Owner KPI dashboardOne screen each morning instead of logging into five tools.
  • Marketing attributionWhich channel, ad and page produced each sale.
  • Financial dashboardP&L trend, cash flow and receivables from QuickBooks, so a cash dip shows weeks early.
  • Sales and pipeline reportsConversion by stage, rep and lead source.
  • Automated weekly scorecardThe leadership meeting starts from the same numbers every week.
  • Data cleanup14,000 messy contacts become 9,000 clean ones.

12 · Teach

How do you train a team to use AI and keep building on its own?

Teaching is what separates us from a build shop. Every system is built with your team in recorded working sessions, then handed over with written playbooks and role-based prompt libraries. By the end, your team can run, change and extend what was built, and scope and ship the next project without a consultant.

  • Team AI bootcampEvery staff member leaves with five tasks they now do with AI.
  • Role-based prompt librariesThe receptionist, rep and bookkeeper each get tested prompts saved in their tools.
  • Owner and leadership coachingThe owner learns to build their own automations and reports.
  • AI championsOne or two internal people trained to own AI going forward.
  • Recorded training libraryNew hires watch the library in their first week.
  • Office hoursTwo working calls a month after the build ($1,500 a month).
